Xactimate Alternatives for Roofing Supplements
September 4, 2026 · 5 min read
Xactimate is the estimating software most insurance carriers use, so supplements are usually expected in its line item language. That leads many contractors to assume they need their own subscription to supplement at all.
They often do not. This guide covers the alternatives and when each one makes sense.
When You Actually Need Xactimate
If you write full estimates from scratch in the carrier's format on high volume, a subscription earns its keep. For a small shop doing a handful of insurance jobs a month, it is a lot of cost and training for what is mostly a review and comparison task.
Alternative 1: Other Estimating Platforms
Some carriers and contractors use competing estimating platforms. If your carriers accept them, they can be a lower friction option. Check what the carriers you work with will actually process before switching.
Alternative 2: Supplement Services and Estimators
Dedicated supplement companies and freelance supplement estimators review adjuster scopes and write the supplement for you, usually in exchange for a share of the recovered amount. Good for contractors with no time, at the cost of margin on every recovery.
Alternative 3: A Checklist and a Clean Format
Many supplements are approved without any specialist software. A thorough checklist of commonly missed items, clear photos, and a well structured written request in plain line item terms gets processed. The carrier maps it to their system.
Alternative 4: AI Document Tools
The newest option. AI document processing can read the adjuster's scope PDF and your photos, compare them against a library of commonly missed items, and draft the supplement. It does the reading and comparison that used to take hours, without a subscription to the carrier's software.
How to Choose
- High volume, writing full estimates: a subscription is justified.
- Low volume, mostly supplementing existing scopes: a checklist, a clean format, or an AI tool.
- No time at all: a supplement service, accepting the margin cost.
The Bottom Line
Xactimate is the carrier's language, not a requirement for you to speak it fluently. For supplement work specifically, a documented checklist and a good format, increasingly with AI doing the comparison, recovers the same items at a fraction of the cost.
We build exactly that kind of tool as custom software for contractors.
